Office cleaning estimate template: how to price a bid

A good office cleaning estimate lists square footage, frequency, the task list, price per visit and per month, and add-ons — and it's priced off production rates, not a gut guess. Most office cleaning runs about 2,500 to 4,000 square feet per hour, which lands recurring service around $0.05 to $0.20 per square foot per visit. Here's the template and the math.

What goes on the estimate

Header and site details

Your company name and contact, the client and address, the date, an estimate number, and the building's square footage and type (open office, medical, retail).

Frequency and task list

How often you service the space and what's done at each visit, by area. Mirror this with your scope of work so the bid and the contract match.

Price per visit and per month

Show the per-visit unit price and the monthly total. Per-visit proves the value; the monthly number is what the client budgets against.

Add-ons as separate line items

Floor stripping and waxing, carpet extraction, window cleaning, and post-event cleanups priced individually so they're never assumed to be part of the recurring rate.

Terms and validity

Who supplies products and consumables, payment terms, the start date, and how long the quote is valid (30 days is common).

The production-rate math

Don't guess at the price — build it from hours. The steps:

    Hours per visit: square footage ÷ your production rate (2,500–4,000 sq ft/hr). A 10,000 sq ft office at 3,000/hr is about 3.3 hours.

    Labor cost: hours × your loaded labor rate (wage + taxes + workers' comp). This is your real cost per visit, not the wage.

    Add supplies + overhead: products, equipment wear, travel, and admin as a percentage on top.

    Add your margin, then cross-check: does the per-square-foot land in the $0.05–$0.20 range? If it's wildly off, recheck your rate.
