The handyman invoice template that gets you paid

A handyman invoice needs nine parts: your business name and contact info, the client's name and address, a unique invoice number, the invoice and due dates, itemized labor and materials, the subtotal and tax, the total due, the payment methods you accept, and a real due date. Copy the layout below into Google Docs or Word and you can send a clean invoice in five minutes.

We run our own home-service companies — a cleaning company in Tucson and an HVAC company in Sacramento — so we know the invoice itself is the easy part. What actually moves money is two habits: send it the same day you finish, and put a date on it, not just "net 15." Here's the template and the reasons.

Invoice vs. pay on the spot

💳 Pay on the spot

Best for small one-off jobs. Take a card or cash before you leave and you never chase anyone. A phone card reader covers this for a couple percent per transaction.

🧾 Invoice with a due date

Best for larger jobs, work billed after completion, or commercial clients on net terms. Send it the same day, with a due date and a payment link, and most pay on time.

Most handymen do both — card on site for small work, an invoice for the bigger jobs. The template above works for the second case and doubles as a receipt for the first.

When a free template beats paid software

Don't pay a monthly fee before you need to. A free template plus a payment link is enough when:

Move up to invoicing software once you're sending dozens a month, chasing late payments, or want recurring billing and automatic reminders. Until then, the template plus a due date does the job for free.

An invoice closes a job. Where do the jobs come from?

A clean invoice gets you paid for work you already booked. The harder problem is keeping enough work coming in. People searching for a handyman in your area book whoever they find and can reach fastest — and if your site is thin or you missed the call, that's a job gone.

That's what we build. Our Start Getting Leads plan is $249/month — a hand-built site with reviews, clear pricing, and 24/7 AI lead capture, month-to-month, and you own it. See home-services website design, SEO for contractors, and the AI receptionist that catches the call while you're on a job. For the honest math, read what local SEO costs.

We don't post stock testimonials. On a 15-minute call we screen-share the real dashboards behind our own businesses — live leads, rankings, and the exact page that produced each one. See the proof →

Common questions

What has to be on the invoice?

Your info, the client's, a unique invoice number, the dates, itemized labor and materials, subtotal and tax, the total, the payment methods, and a real due date. That covers the customer and your accountant.

How do I get paid faster?

Send it the same day you finish, put a calendar due date on it, include a payment link, and add a short late-fee line. A date plus an easy way to pay closes most of the gap.

Do I need invoicing software?

Not until you're sending dozens a month or chasing late payments. Below that, a free template plus a payment link does the job without a monthly fee.
